COURSE RESERVES POLICY

TCC faculty members may place materials needed for course assignments on reserve. These materials may include, but are not limited to, books, audio/visuals, and course readings. Course Reserves materials are kept in a closed stacks area at each campus library and may be requested at the library circulation desk. Physical access to the Reserves Collection is restricted to Library employees. Materials will be retrieved by library staff for patron use upon request. Most reserve items are for use only in the library, unless the faculty member has requested a limited circulation period. The default circulation period will be four hours. The reserve period is one semester with the option to renew.

  1. Any member of the faculty may request that an item be placed on Course Reserves for current TCC classes.
  2. Items from the library circulating collection can be placed on reserve.  The library will also accept donations for reserve.  Personal items can be placed on reserve with the understanding that they will have to be marked and labeled for circulation, and that the library cannot assume liability for damaged, lost or stolen items. A limited number of items may be purchased for reserve subject to pricing and availability.
  3. Library staff members make every effort to process Course Reserves materials as quickly as possible, but cannot guarantee immediate access. Submitting materials two weeks in advance of the date needed ensures availability to students.
  4. Course Reserves are an extension of classroom activity and therefore come under copyright guidelines for classroom copying. In general, instructors may place a copy of any of the following on reserves for a semester for instructional support:
    • A textbook (student edition only)
    • A chapter from a book
    • An article from a newspaper or journal
    • A short story, essay, or poem
    • A chart, diagram, or other graphic work from a published work
    • Audio-visual materials such as DVDs
  5. A full bibliographic citation must be provided for published chapters and articles before materials will be made available to students. This information is required to track publishers for copyright purposes. Each copy will be stamped or carry copyright identification and the following statement: NOTICE: This material may be protected by copyright law (Title 17 U.S. Code).

Procedures

  1. Materials are placed on reserve in the order they are received. Faculty are encouraged to make reserve requests before classes start for the semester.
  2. Many different types of materials can be accommodated: library books, audiovisual materials, donations, original works, personal books, personal periodicals, and photocopies. Circulating materials from other TCC campus libraries may be placed on reserve if not on reserve at the home library.
  3. To prevent wear and tear of journals, library periodicals may not be placed on reserve. Reference materials are generally not placed on reserve; exceptions require approval by a librarian. Materials will not be placed on reserve if they have been borrowed from outside libraries. Each campus library will have the final say in whether an item can be placed in their reserve collection.
  4. For articles, place photocopies of articles in manila folders or binders provided by your department along with appropriate copyright notification.
  5. Bring materials to the circulation desk during library hours. Two weeks advance notice is required for processing new items.  At least one week prior to the time students will need the material is required for items already owned by the library.  While every effort will be made to get them as quickly as possible, items that have to be purchased may take more than two weeks.
  6. Print and complete the Course Reserves form and bring it with your materials to the library, or complete a Course Reserves form at the circulation desk and leave it with your materials. Lists should include title, author, call numbers, course name and course number. The reserve period must be filled in.
  7. The professor determines the loan period from the available reserve loan values. The available options are four hours, two days, and seven days.
  8.  If personal items are placed on reserve they will be marked and barcoded to allow circulation. The following modifications will take place: a barcode is placed on the back of the reserve item, a reserves sticker is attached to the spine and a white label is created with the reserves call number and attached to the item. Materials will be shelved by course number.  The library cannot replace lost or damaged items.
  9. Reserve items are checked out at the circulation desk following the same procedure as other library materials. The library cannot release patron circulation records, except for faculty-owned materials.
  10. At the end of each Spring semester, all items will be removed from reserves. Library staff will contact faculty about the disposition of personal items.

This library policy is effective upon its approval by the Library Management Team on April 11, 2018.
